Accounting

Accounting associates your user name and account information with each document that you print. When you submit a job to the printer, accounting data is collected and stored.

To configure accounting:

  1. From the Devices and Printers window, right-click the printer icon, then select Xerox Printer Properties.
  2. On the Accounting tab, for Accounting, select an option.
    • Enabled: To activate accounting, select this option. When you enable accounting, the Settings option appears.
    • Disabled: To disable accounting, select this option.
  3. Select an Accounting Method.
  4. To configure settings, click Settings. Select options as needed.
    1. To hide ID entries from view, for Mask All Codes, select On. Asterisks (*) replace any characters typed in the ID field. This is the default setting.

      When the Mask All Codes setting is disabled, all characters typed in the ID field are displayed as text.

    2. For Print-Time Prompt, select an option.
      • Enabled: This option enables the device to prompt you for a user ID, account ID, or billing ID when you submit a print job.

        When the print-time prompt is enabled, default accounting codes are optional.

      • Disabled: This option requires you to provide a user ID, account ID, or billing ID, before you submit a print job.

        When the print-time prompt is disabled, provide accounting codes as needed.

    3. To show the last-entered code when the device prompts you for an ID, for Remember Last Entered Codes, select Enabled. This option is available only when the print-time prompt is enabled.
    4. To track your print jobs, select a Tracking Option.
  5. For Accounting Codes, type a Default User ID, Default Account ID, Default Billing ID, and Passcode as needed. This option is available only when the print-time prompt is enabled. To view the passcode that you entered, click and hold the reveal button.
  6. Click OK.
